How to set a corporate-gifting budget that holds up

A useful budget covers the gift as delivered. Comparing product prices alone can hide the costs that appear later, especially when branding, packaging or multiple addresses are involved.

Define what the budget includes

Start with your total approved amount and recipient count. Decide whether the limit includes applicable taxes, shipping, packaging and customisation. Ask for those components to be shown in the quotation. Keep any one-time artwork or setup charge separate so you can understand how it affects different order sizes.

Use a simple comparison

Imagine an illustrative order for 100 recipients with a total budget of Rs 30,000. The delivered allowance is Rs 300 each, not Rs 300 for the product plus unlimited extras. These are planning numbers, not The Eco Urban prices. Compare proposed contents against that delivered allowance, and allow for any agreed spare units or address-specific costs.

Protect the main product

If the first proposal is too expensive, reconsider accessories and packaging before compromising the item recipients are most likely to use. A good notebook and pen can make a coherent gift without a long list of fillers. Ask what changes when quantities, branding area or packaging format change. Savings should be based on a revised quotation, not assumed.

Compare equal specifications

Put product dimensions, contents, branding process, packaging, quantity and delivery terms beside each quote. Check whether a pen, card or box shown in a photograph is included. An apparently lower price may describe a different combination. Confirm quote validity and the payment schedule before the internal approval process begins, then use the approved specification as the order reference.

Your checklist

  • Total budget and count
  • Tax inclusion
  • Branding and setup charges
  • Packaging and assembly
  • Shipping by destination
  • Equal specifications across quotes
